Rental Policy
Last Updated: January 29, 2025
Definitions
“Agreement” or “Rental Agreement” means all terms and conditions and provisions found in the rental agreement. “You” or “your” means the person identified as the customer elsewhere in this rental agreement, any person signing this rental agreement, any Authorized Driver and any person or organization to whom charges will be billed by us at its or the customer’s direction. All persons referred to as “you” or “your” are jointly severally bound by this rental agreement. “We”, “our” or “us” means AITF Solutions, LLC (DBA: AITF Auto Rentals). “Additional Driver” means a person we list on the front page of the rental agreement. “Authorized Driver” means the renter, any additional driver or any individual permitted by state law to operate the vehicle. For renters with a pickup location in Pennsylvania, “Authorized Drive” includes your spouse. “Vehicle”, “Car”, “SUV”, “Volkswagen”, “Hyundai”, “Dodge”, “Jetta”, “Atlas”, “Cross Sport”, “Charger” and “Elantra” means the automobile or truck identified in this Agreement and any vehicle or any vehicle to substitute for it and all its tires, tools, accessories equipment, keys and vehicle documents. “Physical Damage” means damage to, or loss of, the Vehicle caused by collision or upset; it does not include comprehensive damage or loss, such as: loss of the Vehicle due to theft; vandalism; act of nature; riot or civil disturbance; flood; or, fire. Physical Damage excludes interior burn holes, window stars or cracks not caused by collision or upset. “Loss of use” means the loss of our ability to use the Vehicle for any purpose caused by damage loss resulting from this rental. Loss of use is calculated by multiplying the number of days from the date the Vehicle is damaged or lost until it is repaired or replaced, times the daily rental rate.
Renter Requirements
All renters & additional Drivers must be 21 years of age or older, have a valid driver’s license & a major credit card in their name. All Drivers must provide proof of full coverage insurance. More details in ‘Insurance Requirements’. Driver’s licenses are accepted from any USA state or territory. Licenses from outside the USA also may require an international driver’s permit. International driver’s permits are valid only if presented with the original local license. Individuals with learner’s permits are not eligible to rent vehicles. All renters must have a valid driver’s license in good standing for the previous 30 days. Renters only authorized to drive within the United States. AITF Auto Rentals reserves the right to refuse rental to anyone, for any reason.
Age Restrictions
You must be at least 21 years of age to rent, but the following provisions apply for customers between the ages of 21-24:
● Renters 21-24 must present a valid, acceptable credit card (debit cards are not permitted) and a valid driver’s license (subject to screening of your driving record), both in the renter’s name.
● At time of rental, an additional per-day underage surcharge for these renters may be applied. Because we don’t verify your age when you make a reservation, this fee is in addition to your quoted online rate unless you pay & checkout with the underage extra selected.
Insurance Requirements
You are responsible for all damage to the rental vehicle and/or loss you cause to other vehicles. You agree to provide auto liability and comprehensive insurance covering you, us, and the Vehicle and must remain in effect for the duration of the rental period. Comprehensive deductibles must not be more than $1,000. All drivers must carry some form of insurance to cover damages to the Vehicle in the event of an accident.
Renter’s Collision Protection is offered by AITF Auto Rentals and costs are separate from the daily rental amount. The renter understands that this product will pay for only collision damage done to this rental vehicle with a $250.00 deductible, which will be obtained from either the renter’s initial deposit and/or captured from the payment method used at the time of booking.
The Renter acknowledges that they have read, understood, and agrees to be bound by the terms and conditions of the Renter’s Collision Protection, which are provided to the renter here.
The renter will be liable for any damage caused to the rental vehicle which is not covered by applicable insurance policy. This includes, but is not limited to, damage caused while driving under the influence, speeding, and driving in violation of applicable state and local laws or ordinances.
Additional Drivers
Additional Drivers must meet the same rental qualifications as the renter. Additional Drivers must appear with the primary renter at the time of pick up. There will be no additional charge for each additional authorized driver including a spouse or domestic partner. There is a limit of two additional Drivers per rental contract. A spouse or domestic partner is the only permitted additional driver on non-credit card deposits. Additional Drivers age restrictions are the same as primary.
Driving Record
All renters and additional drivers are subject to having their driving record accessed and analyzed by us. AITF Solutions LLC (DBA: AITF Auto Rentals) reserves the right to deny any rental if the driving history reveals any of the following:
· Invalid, suspended or revoked license
· One or more convictions for reckless driving within 48 months
· One DUI, DWI or DWAI conviction within 48 months
· Failure to report an accident/leaving the scene of accident within 48 months
· Possession of stolen vehicle or use of a vehicle in a crime
· Expired license
· Three or more convictions for moving violations within 24 months (excluding seatbelt violations)
· Two or more accidents within 36 months
· Other activities that suggest an unsatisfactory driving record.
Payment & Security Deposit
Payment is due upon booking to reserve the date/time chosen. Refundable security deposits are held at the time of pickup and start at $250. If you book with a debit card, deposits can be $250 or more depending on your insurance deductibles. For extended trips, an additional $250 deposit will be due every three weeks. Deposits can not be used to extend your booking. Deposits are used in the event there is damage, tolls, tickets, fuel reimbursement, or fees not included in the rental agreement.
Any other unsatisfied expenses incurred on the trip will be charged by AITF’s Auto Rentals to the renter’s card on file.
The renter is responsible for replacing the missing fuel. If not, the fuel receipt plus $20 convenience fee will be deducted from the deposit at the end of the trip.
Security deposits are returned to the same card used, 30 days following the trip end to ensure tickets that arrive by mail will be paid. Yet, every transportation authority has a different billing cycle, which means AITF Auto Rentals may not receive the ticket and send you an invoice until several months after your trip ends. That means your host may not receive notice of a ticket until long after your trip has ended. In the event of a ticket being received months after the trip has ended, AITF Auto will contact the renter directly for payment. The renter must agree that they are still responsible for paying the fine. All fines received will be plead guilty. AITF Auto will not dispute fines on the renter’s behalf, with the billing agencies.
Tickets and Fines
AITF Auto Rentals is not always immediately notified of tickets or fines (e.g., speeding tickets, parking tickets, red light violations) incurred during a renter’s trip. Transportation authorities have varying billing cycles, and tickets may arrive weeks or even months after your trip has ended.
If a ticket is received after your trip, AITF Auto Rentals will contact you directly with an invoice for payment. A 10% ticket processing fee will be automatically added to the cost of any ticket or fine received. By renting with us, you agree that you remain responsible for paying all fines and associated fees related to your trip, regardless of when they are received. All fines will be pled guilty, and AITF Auto Rentals will not dispute fines on your behalf with billing agencies.
Late Payment Policy
Invoices that remain unpaid following the end of a trip are subject to the following late penalties:
- One Week Late: 5% late fee added to the original invoice amount.
- 30 Days Late: 15% late fee added to the original invoice amount.
- 60 Days Late: 20% late fee added to the original invoice amount.
- 90 Days or More Late: 25% late fee added to the original invoice amount, and the case will be forwarded to our collection agency.
Failure to pay outstanding invoices may result in legal action, including the possibility of filing a claim in small claims court.
Cancellation & No-Show Policy
Any trip canceled 72 hours prior to the start of the trip will not receive a refund. Guests who book within 24 hours of the scheduled trip start time have one hour after booking to cancel for free. If a guest requests and AITF Auto Rentals approves a trip modification, the free cancellation period remains tied to the original booking time and will not reset. Any no-show trips will not receive a refund.
Guest No-Show
If a guest fails to cancel and does not arrive by the end of the day, it will be considered a no-show. Additionally, the following situations are treated as no-shows:
- A guest arrives without a valid license, provides an invalid license, or sends another individual in their place.
- For vehicles with remote access, the guest does not access the car within 12 hours of the trip start time without cancellation.
Why We Enforce This Policy : This policy ensures fairness for both parties, as cancellations and no-shows block the availability of vehicles for other guests and result in lost opportunities for rentals.
Mileage Policy
All rental contracts come with a mileage allowance of 250 miles per day. There will be a $0.75/mile charge for any mileage overages. If you happen to need more miles than what is allowed, please contact us prior to your trip. Unlimited mileage is something that we offer and can be found at checkout under “Trip Add Ons”.
Smoking Policy
There is no smoking of any kind allowed in any of our rental vehicles. Violation of this agreement will end in a fine being issued to the renter at a minimum of $250. This fee will ultimately depend on if there is any smell and/or physical damages to the vehicle being rented
Pet Policy
No Pets are allowed in any of our vehicles due to safety concerns (allergies, etc.) of future renters.
Use of the Vehicle
You must exercise reasonable care in your use of the Vehicle. You are required at all times to operate the Vehicle safely, and in compliance with any applicable laws, including and without limitations, speed limits and prohibitions on impaired or distracted driving. You and all passengers are required to wear a seat belt when operating the vehicle. You are also required to meet any laws concerning car seats and other protections for children. You are only allowed to use the Vehicle within the United States and within the mileage radius (from our office) listed on the front page of this Agreement. Canada, Mexico and any other country that is not the United States are prohibited. Violations of this provision may be subject to reasonable fines issued by AITF Auto Rentals.
Late Policy
We understand that unforeseen situations happen. This is why there will be no additional cost to any vehicle that is returned up to 30 minutes late. AITF Auto Rentals can charge the following amounts for additional usage:
· 31 minutes – 2 hours late = ½ Day Charge
· More than 2 hours late = 1 Day + $100* late return fee.
· AITF Auto Rentals reserves the right to deduct the additional and late return fee from the deposit.
Additional fees for authority involvement: Any costs, fines, or fees incurred due to the involvement of police or other authorities as a result of the late return will be charged to the renter.
Payment and collections:
• Late return fees, full-day charges, Rental Collision Protection fees, and any authority-related costs will first be deducted from the deposit.
• Any excess charges will be applied to the cards on file.
• Any outstanding debts will be sent to collections if not resolved promptly
Damage Policy
You are responsible for all collision damage to the Vehicle even if someone else caused it or the cause is unknown. You are responsible for the cost of repair up to the value of the Vehicle, and towing, storage, and impound fees. Your own insurance, the renter’s collision protection, or the issuer of the credit card you use to pay for the Vehicle rental transaction, may cover all or part of your financial responsibility for the Vehicle. You should check with your insurance company, or credit card issuer, to find out about your coverage and the amount of the deductible, if any, for which you may be liable. Further, if you use a credit card that provides coverage for your potential liability, you should check with the issuer to determine if you must first exhaust the coverage limits of your own insurance before the credit card coverage applies. You are responsible for all damage to, and for loss or theft of, the Vehicle including damage caused by collision, weather, road conditions and acts of nature, even if you are not at fault. You are responsible for the cost of repair, or the actual cash retail value of the Vehicle on the date of the loss if the Vehicle is not repairable or if we elect not to repair the Vehicle. You are also responsible for Loss of Use (without regard to fleet utilization), Diminished Value, and our administrative expenses incurred processing a claim. You must report all accidents and incidents of theft and vandalism to us and the police as soon as you discover them. Flat tires are a fact of life, and renters are responsible for a flat tire that occurs during the trip, as well as any related damage that may result from that flat or damaged tire. In the event of a flat, the renter should contact roadside service to change the tire and replace it with a spare, and then coordinate next steps with the host. If the tire can be repaired, it might be best to do so. If the sidewall is damaged or a repair is not possible, the renter is responsible for replacing that tire. In the event of a collision or other damage, file a police report, take photos, gather insurance/ID from another party (if applicable) and let us and your insurance know asap.
Charges and Costs
You will pay us at or before the conclusion of this rental, or on demand, all charges due to us under this Agreement, including the charges and fees shown on the Face Page of the Rental Agreement and: (a) a mileage charge based on our experience if the odometer is tampered with; (b) any taxes, surcharges or other government-imposed fees that apply to the transaction; (c) all expenses we incur locating and recovering the Vehicle if you fail to return it, return it to a location or office other than the location or office identified by us, or if we elect to repossess the Vehicle under the terms of this Agreement; (d) all costs including pre- and post-judgment attorney fees we incur collecting payment from you or otherwise enforcing or defending our rights under this Agreement; (g) a reasonable fee not to exceed $500 to clean the Vehicle if returned substantially less clean than when rented or if there is evidence of smoking in our Vehicle; and, (h) towing, impound, storage charges, forfeitures, court costs, civil and/or criminal penalties or fines and all other costs we incur resulting from your use of the Vehicle during this rental. Special rental rates, vehicle category upgrades or any equipment or services provided to you free of charge only apply to the initially agreed upon rental period: If you return the Vehicle after the Due-In Date, you may be charged the standard rates for each day (or partial day) after the Due-In Date, which may be substantially higher than the rates for the initially agreed rental period. You also may be charged the standard fees for each day (or partial day) after the Due-In date for any equipment or services provided to you without charge for the initially agreed upon rental period. You will not receive a refund of prepaid amounts if you return the Vehicle before the Due-In Date. All Charges are subject to a final audit. If errors are found, you authorize us to correct the Charges with your payment card issuer You are responsible for paying the charging authorities directly for all parking citations, toll fees, fines for toll evasion, and other fees, fines and penalties assessed against you, us, or the Vehicle during this rental. If you fail to pay any of these charges and we pay any part of them, you will reimburse us for all such charges and, in addition, pay us an administrative fee of up to $20 for each such charge.
Chargeback Clause
Renters will not, under any circumstances, issue or threaten to issue any chargebacks to the renter’s debit/credit card and/or any other form of payment for any reason whatsoever related to their trip. In the event of a chargeback, Renters will accept responsibility and their issuing bank will reverse the funds back to AITF Auto Rentals.
